What services does Colleen’s Coordinating offer?

Colleen’s Coordinating offers two primary packages. However, both are customizable to fit each client’s specific needs. Please see the Pricing Page for more details and options.

Can Colleen help us with both wedding planning and day of coordination?

The Deluxe Coordinating Package listed on the Pricing Page includes more meetings and support throughout the planning process. However, Colleen's Coordinating does not currently provide full planning services.

What is Colleen’s experience in coordinating events similar to ours?

Colleen has 10+ years of event coordination experience! Her focus has primarily been weddings, but she also has experience in anniversary parties, birthday celebrations, wedding showers, and more. Her event journey started in college when she worked on the planning committee for the University of Washington’s Relay for Life event. From there, things transitioned pretty naturally into wedding day of coordination when people she was close to started getting married and asked for her help in making sure everything went perfectly!

Does Colleen’s Coordinating have a portfolio or references from past clients we can review?

How does Colleen handle unforeseen issues during an event?

No matter how much planning and preparation go into an event, there is always the possibility something unforeseen could happen. That is exactly why hiring a day of coordinator is so important! If something comes up during an event, Colleen will do everything in her power to solve the problem without the client even knowing it was an issue. Sometimes this means working with the other vendors to come up with a solution, but this is also why Colleen always asks for a person who knows the client well to be her point of contact during the day of the event. If something comes up that is not easily solvable among the venue staff and other vendors, this person can provide insight into how the client might want it handled, as well as help determine whether the client should be brought into the conversation.

Does Colleen’s Coordinating have a list of vendor recommendations?

Colleen’s Coordinating does have a list of recommended vendors that she shares with all clients. This list provides a great starting point in your vendor search!

How does Colleen communicate with clients throughout the planning process?

Once a contract is signed, clients have an open line of communication directly with Colleen via text, email, or phone. If she doesn’t hear from a client, she will also check in via their preferred method of communication every three months during planning, or when the next step in the process approaches.

Will Colleen be present on the day of the event, and will there be any additional staff assisting?

When you hire Colleen’s Coordinating, Colleen is who you get the day of your event! She is typically a one woman show. However, if it is determined that additional hands will be necessary for any portion of the day, she gives clients the option to provide their own volunteers for her to manage, or she can bring on additional support staff. Additionally, Colleen has trusted colleagues who help her coordinate ceremony rehearsals in the event that she is unavailable the day the rehearsal is scheduled. This usually only comes up when rehearsals are scheduled on a Friday or Saturday, as these are very popular wedding days. Clients also have the option to book Colleen for the entire weekend if her attendance at the rehearsal is what is preferred.

Can Colleen assist with creating a timeline for the event?

A meeting dedicated solely to timeline creation is now included in both the Standard and Deluxe Coordinating Packages! Colleen also provides a planning document that includes multiple timeline samples to all clients who book her services.

What is your cancellation or refund policy?

Colleen understands that sometimes a client may need to cancel due to events outside of their control. However, Colleen is a small business owner whose livelihood is dependent on the events she works each month. As a result, any invoices paid prior to cancellation are not refundable. A detailed description of the cancellation policy for Colleen’s Coordinating can be found in the contract.

How does Colleen handle guest seating arrangements?

Assistance in finalizing the venue layout is provided during the venue walk-through and pre-event meeting. However, where each individual sits is up to the client, as they know their guests better than anyone else.

Can Colleen help with budget management and cost negotiations with vendors?

Colleen is always happy to provide insight and advice, but budget management and booking vendors are not included in the services Colleen’s Coordinating provides.

Is Colleen available for destination weddings or events?

Yes! Colleen loves to travel to new places for events! Additional travel and lodging fees apply.

Does Colleen’s Coordinating have event insurance?

Yes, Colleen’s Coordinating carries a General Liability Insurance Policy. Detailed policy information can be provided upon request.

Does Colleen have any backup plans in case of her unavailability on the day of the event? Yes! While Colleen HATES the idea of becoming unavailable after a client has hired her, unfortunately, life happens sometimes and she believes being prepared is always best. In the event that Colleen becomes unavailable the day of the event, several steps will be taken. The following language comes directly from the Colleen’s Coordinating contract: “In the event that Colleen’s Coordinating becomes unable to perform the agreed upon Services on the scheduled Event Date due to unforeseeable genuine extenuating circumstances beyond CC’s control, Colleen’s Coordinating will (i) notify Customer immediately in writing and will provide documentation of the extenuating circumstance if requested; (ii) make every effort to find an alternative coordinator; and (iii) refund all paid invoices. Any cost difference resulting from hiring an alternative coordinator will be the responsibility of the Customer. Refunds, if applicable, will be initiated within 5 business days from the date of cancellation notification.”
